Your Opportunity:

Reporting to the VP Finance and Administration, the Administrative Assistant plays a vital role in creating a welcoming environment for all visitors to Edmonton Unlimited headquarters while also managing financial tasks related to accounts receivable and accounts payable. This hybrid role involves greeting and aiding visitors, managing various office and building tasks, and performing key financial duties.

Receptionist Key Accountabilities:

  • Promotes an equitable, diverse, and inclusive work environment, and contributes to Edmonton Unlimited’s ongoing pursuit of Reconciliation.
  • Extends a warm and welcoming reception to all visitors, reflecting a positive and helpful demeanor.
  • Ensures visitors feel at ease and guide them efficiently to the appropriate personnel within the establishment.
  • Proactively seeks opportunities to create memorable customer interactions, providing excellent service and assistance to guests.
  • Interacts courteously and efficiently with guests, offering directions, information.
  • Assists visitors by addressing queries, answering questions, and directing them to office-specific services.
  • Supports the VP Finance and Administration in assigned administrative tasks and supports the leadership team as required.
  • Takes charge of daily mail duties, including documenting into the mail log and directing queries to appropriate departments.
  • Employs exceptional prioritization skills and a sense of urgency to manage tasks effectively.
  • Maintains a fully stocked kitchen, monitoring fridge contents for expiry.
  • Upholds the cleanliness and orderliness of common areas, café, and kitchen, enhancing the overall appearance of the premises.
  • Ensures the stationary area is organized and well-stocked for office needs.
  • Handles Business Model 101 Mail Orders efficiently.
  • Monitor the “Hello” email and distributes messages to the appropriate channels.
  • Plays a role in workplace security by assisting with the issuing, checking, and collecting badges as necessary, while also maintaining visitor logs.
  • Contributes to the creation of informative guides, including Kantech Bypass information and other procedural documents.
  • Embraces any additional responsibilities that may arise in support of the role.

Accounts Receivable/Payable Key Accountabilities:

  • Manage accounts receivable tasks, including invoicing, recording payments, and following up on overdue accounts.
  • Handle accounts payable duties, including processing vendor invoices, preparing payments, and reconciling statements.
  • Maintain accurate financial records and ensure timely processing of financial transactions.
  • Assist with month-end closing activities, including reconciliations and reporting.
  • Coordinate with the finance team to ensure accurate financial data and compliance with company policies.
  • Address and resolve any discrepancies or issues related to accounts receivable and payable.
  • Utilize accounting software and digital applications to manage financial data efficiently.
  • Provide support in preparing financial reports and documents as needed.
  • Perform other finance-related tasks as assigned by the VP Finance and Administration and the finance team.

Your Credentials:

  • Completion of a High School Diploma or equivalent.
  • 2+ years of related work experience providing exceptional customer support.
  • Experience in accounts receivable and accounts payable.
  • Excels in a start-up environment with flat organizational structure and strong team collaboration.
  • Excellent interpersonal, written, and verbal communication skills with strong organizational skills and attention to detail.
  • Competency in digital applications.
  • Ability to maintain a high-level of integrity and confidentiality.
  • Passion for innovation and entrepreneurship will be an asset.
  • Flexibility to work occasional weekends and evenings, as required.
  • Innovator by nature.
